The NZ Chapter Summit Committee has been working on the Summit for almost a year now, and we are delighted to have you join us at the Victoria University of Wellington, and Queen Margaret College, for what promises to be an inspiring and impactful gathering.

This year’s specially curated Programme brings together thought leaders and sector experts to explore key themes, share innovative practices, and spark meaningful conversations.

Alongside the Sessions, the Summit offers valuable opportunities to network, reconnect with peers, and build new professional relationships.

This eNewsletter contains information you need to know to ensure the Summit is an amazing experience for you! I encourage you to read through, and to especially note the information regarding how to download the App if you haven’t already done so.

Make Sure to Download the Summit App!

The Summit App will be the primary source of information during the Summit, and therefore it is extremely important that all Delegates have the App on their devices. Information about how to download the Summit App, and some of its many uses can be found later in this eNews. Your Summit experience will be significantly enhanced if you make sure to download the App and familiarise yourself with it before you go!

The Summit venue entrance at Rutherford House, Victoria University of Wellington is via the south facing foyer doors (directly opposite The Law Library). The Registration Desk will be located on the Mezzanine floor, with signage in place.

  • The Registration Desk is located on the Mezzanine Floor of Rutherford House, Victoria University of Wellington.
  • The entrance is via the south facing foyer doors (directly opposite The Law Library).
Delegate Check-In Times:

The Summit Registration Desk is open as follows:

  • Tuesday 19 August – Masterclass Registration:
    • Registration Desk Open – From 11.45am (Rutherford House – Victoria University of Wellington)
    • Collect your Name Badge and Summit Satchel and proceed to the ‘Fork & Talk’ lunch
    • After the ‘Fork & Talk’ Lunch, proceed directly to your Masterclass Room (Rutherford House – First Floor)
  • Wednesday 20 August – Summit Sessions Registration:
    • Registration Desk Open – From 7.30am (Rutherford House – Victoria University of Wellington)
    • If not previously Checked-In, collect your Name Badge and Summit Satchel
    • Coffee /Tea/ Light Snack will be available upon arrival
    • After Checking In, please proceed to the Exhibition space until Summit start time
    • The Summit Welcome commences at 8.30am
    • The Summit Close finishes at 4.00pm
Exhibitor / Sponsor Check-In Process (and Bump-In)
  • Exhibitor Bump-In Time: Tuesday 19 August, from 1.00pm-4.00pm
    • Collect your Name Badge and Summit Satchel from the Registration Desk.
    • You are welcome to join Masterclass Delegates for Afternoon Tea from 2.00pm-2.30pm
    • Booths to be fully set up by 7.30am on Wednesday 20 August.
  • Exhibitor Bump-Out Time: Wednesday 20 August, from 1.25pm onwards (after lunch)

By using the App, you’ll be able to:
  • Take notes and export them to your inbox
  • Engage with Exhibitors
  • Obtain Delegate contacts and export them to your inbox
  • Send messages and receive real-time notifications
  • Complete surveys and share your feedback
  • Play games and win amazing prizes

2025 Summit App Features

Once you’ve downloaded the App, you may want to familiarise yourself with the following:

 

App Gamification and the Leaderboard

Have Fun … The App enables you to compete with fellow Delegates to earn points as you interact with Exhibitors, engage with Colleagues and explore the App. The more you use the App, the higher you climb on the Leaderboard.

The points will be tallied on Wednesday afternoon and the winners will be announced during the closing Session

The Prize … Three gift cards ($200, $100 and $50) will be awarded to the top 3 Delegates who have accumulated the most points. If there are several people on the top scores, then those top names will be drawn out of a hat.

To Score Points … Points are earned as you interact, engage and explore. The more you do so, the more points you will accumulate. For example:

  • 100 pts – Interact with an Exhibitor and scan their QR code
  • 50 pts – Login for the first time
  • 50 pts – View Notifications
  • 50 pts – Complete a Session feedback survey
  • 40 pts – Update your profile
  • 40 pts – Update your profile image
  • 30 pts – Send a message to a colleague
  • 30 pts – Comment on a page
  • 30 Pts – Post a status update
  • … and many, many more opportunities to accumulate points!

First Things First … Make sure you are logged into the App (using the email address that you supplied upon registration, and your newly created password) to activate the gamification function.

To Scan an Exhibitor QR Code … Click into the QR Scanner Icon and scan the Exhibitor’s QR code. The scan will automatically be recognised within the gamification function and your points will be allocated. You will only receive points the first time each Exhibitor is scanned. However, if you manage to scan all Exhibitor’s QR codes, you will be awarded bonus points once the final Exhibitor is scanned.

 


 

The Bookmark Function

This is an incredibly useful function as it enables you to save all your important information in one place – under the ‘Login’ Icon.

To Bookmark … The Bookmark function is available in the following Icons:

  • Programme
  • Speakers
  • Sponsors
  • Exhibitors
  • Delegates

To Create Your Schedule … Click into the Programme Icon. Review the Sessions, and click on the Bookmark Icon for those you’d like to attend. To access your created Schedule, click into the Login Icon to see ‘My Schedule‘.

To Obtain and Export Delegate Details … Click into the Delegates Icon. Click into the Delegate’s name and click on the Bookmark Icon. To access your created list of Delegates, click into the Login Icon to see ‘My Delegates‘. You are also able to take notes for each Delegate and export these notes to your email address. Simply click on the ‘Export Notes’ function whilst in the Login Icon.

To Create a List of Sponsors / Exhibitors / Speakers … Similar to the Delegates information above, click into the relevant Icon, then click on the Bookmark Icon. Note that only the Delegate details can be exported to your email address. The details of the Sponsors / Exhibitors / Speakers remain within the App.

 


 

The Session Feedback Survey

Your feedback matters! After each Session, we encourage you to take a moment to complete the short Feedback Survey. It’s super easy – simply click into the Session icon, tap the top Feedback icon, and answer four quick questions. It only takes a minute, but it makes a big difference. Your insights help us understand what’s working and what can be improved, so we can plan and prepare an even better experience for the next Summit.

Taking Notes and Exporting Content

To Take Notes … Click into the Programme Icon and select a Session. Then, select the pencil Notes Icon and this will take you to a notepad … and simply start typing away! Notes are automatically saved – you can leave and come back to your notes as often as you like.

To Export Your Notes … When you have finished taking notes, you can send these to an email address. To do this, click into the Login Icon then select ‘Export Notes’. You will be asked to enter in your email address, and the notes will then be sent there.

Important Note about Notes … The notes will stay on the Summit App as long as you leave the App on your device. If you delete the App, then the notes are also deleted, so make sure that you export your notes prior to deleting the App.

… and importantly, don’t forget to refresh your App frequently!

To do this, simply click on the ‘Settings’ wheel (top right of screen) and click ‘Check for Updates’. Please aim to do this multiple times per day, to check for any Programme updates, or additional messages or notifications.

1. TOUR OF PARLIAMENT (Optional)
19 August | 10.15am – 11.30am

Pre-Registered Delegates meet at The Beehive, Main Entrance, at 10.15am (The Beehive: 1 Molesworth St, Pipitea) This is 15 minutes prior to the start of the tour to give time to clear security and check in at the Visitor Centre before the tour starts. The tour starts at 10.30am and finishes at 11.30am. In preparation for screening, staff will ask that everyone remove everything from their pockets (including keys, coins, mobiles etc.) and place these in the bags provided.  All belongings, including bags, food, drink, sunglasses and hats will be stored in the secure cloakroom during the visit.

 

2. TOUR OF QUEEN MARGARET COLLEGE CAMPUS (Optional)
19 August | 4.30pm – 5.10pm

Pre-Registered Delegates meet at the Entrance to the Old Hall. Enter through either the vehicle or pedestrian gate at 53 Hobson Street, and gather at the entrance to the Old Hall, just beneath the iconic tower.

Your guided Tour of Queen Margaret College with Principal Jayne-Ann Young begins in the heart of the College; the historic home and tower building. Originally owned by T.C. Williams in the 1870s, it was Wellington’s first home to boast both hot and cold running water! Explore this treasured part of QMC’s heritage before moving on to the newly refurbished College Library. We’ll conclude with a sneak peek at the exciting campus development plans, unveiled last year and set to shape the future of QMC. Look out for driveway signage, and check the campus map.

 

3. GIVING ARCHITECTS WELCOME EVENT
19 August | 5.30pm-7.00pm

Join us for the Giving Architects Welcome Event, after the pre-Summit Masterclasses on Tuesday — the perfect opportunity to unwind, reflect on a fantastic day of learning, and reconnect with fellow Delegates. Whether you’re catching up with old friends, making new connections, or chatting with our wonderful Exhibitors, it’s a relaxed and social way to wrap up the day. We look forward to seeing you there!

The Event will be held in the Queen Margaret College Old Hall (not to be confused with the College Hall).
Enter through either the vehicle or pedestrian gate at 53 Hobson Street, and make your way to the main College entrance, just beneath the iconic tower. Look out for the blue painted double columns either side of the main doors, driveway signate and check the QMC campus map. Please wear your Summit lanyard for easy entry.

 

4. EXHIBITORS’ SPEED DATING SESSION
20 August | 12.25pm-12.45pm

Looking to discover the latest innovations, services, and opportunities? Be sure to take time during our Exhibitor Speed Dating session — a networking opportunity designed to allow time for Delegates to connect directly with a variety of Sponsors and Exhibitors. In just a short time, you can make valuable contacts, gather insights and explore products that could take your work to the next level.

5. CHAPEL & YORK ‘FORK & TALK’ LUNCH
20 August | 12.45pm-1.25pm

  • Each Session: At the conclusion of each Session, please complete the short Feedback Survey via the App.
  • Overall Summit Experience: At the conclusion of the Summit, a more in-depth Feedback Survey will be emailed to all Delegates. Please take the time to provide us with your valuable feedback, as it will help to shape the planning of our future Conferences and Summits.

If you find any item that someone may have lost, please take it to the Summit Registration Desk. Similarly, if you lose something, make sure to check to see if it’s been handed in at the Desk.

Making the Most of It!

Making the Most of It!

For a Summit Experience that’s Smooth Sailing …
  1. Download the Summit App – this will be your main source of information throughout the Event.
  2. Familiarise yourself with the Summit Programme before you get to the venue and highlight your ‘must-see’ Sessions. Use the App to create your schedule in advance, so that it’s easily accessible on the day!
  3. Make sure to visit the Exhibitors in between Sessions and during refreshment breaks. Our Sponsors’ support has truly made it possible for us to provide this Summit for you. They’ve got some great solutions to some of your key Advancement office challenges, and they’ll have a good understanding of what you need (and what you don’t) – so we strongly encourage you to stop by their booths!
  4. Make notes, take photos, access the materials that are available to download … and do it while you’re there. It’s so easy to forget those great ideas that inspired you during a Session, once you’re back at the office.
  5. At the end of each Session, highlight three things that you’re going to act on.
  6. Wear comfy shoes! (Your feet will thank us later for this one!)

Professional Conduct Review and Ethics Committee

Educate Plus maintains high standards of ethics and practice for its members, supporters, sponsors and partners. Each must observe the Code of Ethics and Conduct, and Educate Plus enforces these codes, where necessary, by cautions or warnings, or by suspending or withdrawing membership rights and privileges.

Educate Plus has a zero-tolerance policy toward any form of discrimination and any instances of discriminatory comments or actions will be addressed promptly and appropriately, in accordance with our Code of Conduct. We recognise that members may hold diverse perspectives, but our priority is to ensure that any expressions of support or viewpoints are conveyed respectfully and do not infringe on the rights or safety of others. We encourage open dialogue but will not tolerate hate speech, incitement or any form of harassment.

The Board deals with issues relating to the Code of Conduct and any complaints about the behaviour of a member, sponsor, supporter or partner of Educate Plus may be made to either the Chapter of which that person is a member or to the Board, through the CEO.

Photography / Videography

Photographs and Videos will be taken throughout the Summit (both official and candid) and some will be uploaded shortly thereafter to the Photo Gallery on the Educate Plus Website.

Some photos may also be used in Social Media posts, and/or used for promotional purposes. Your permission for this was given at the time of Registration.

If you don’t want to be in the photos, please do not pose (and let the photographer know).

Summit Attendee List

Educate Plus will be sharing an Attendee list with your name, job title, institution and email address with all Summit attendees including Sponsors and Exhibitors.

This list will contain the details of Attendees who gave their permission at the time of Registration.

Programme Changes

Educate Plus reserves the right to make last minute alterations to the Program or Speakers if necessary, to ensure the success of the event.
