What’s in Your Advancement Toolbox?  
 

 

The first quarter of a year in education always brings a unique mix of excitement, energy, and—let’s be honest—overwhelm. The to-do lists are long, the inboxes are full, and amidst the busyness, it’s easy to dive straight into the daily grind without stepping back to assess whether we have everything we need to set ourselves up for success. 

In Advancement, we talk a lot about strategy, engagement, and long-term impact, but how often do we take stock of the tools we need to make those goals a reality? Just as a well-prepared teacher or lecturer walks into a classroom with carefully chosen resources, we as Advancement professionals need to check that we have the right structures, skills, and support to execute our plans effectively. 

 So, as a new quarter is almost upon us, now is the perfect time to ask: what’s in your toolbox? 

 Whether you work in Admissions, Alumni & Community Relations, Fundraising, Marketing & Communications, Leadership or People & Culture, or any of the other areas which exist in Advancement in our institutions, there are a few key ‘tools’ that can make all the difference between just keeping up and truly moving forward. Here are some essentials to check in on: 

  • CRM and Data Strategy – Are your systems working for you, or are they just another thing to manage? Good data is the foundation of effective engagement. 
  • Storytelling and Messaging – Do you have a clear, compelling way to communicate your institution’s impact? Consistency is key, and now is the time to refine your messaging. 
  • Professional Learning and Networks – Are you taking the time to invest in your own growth? The best Advancement professionals are always learning, sharing, and evolving.

What is the length of time you’ve been in Educational Advancement?

I’ve been working in schools for 20 years (eek)! It started as an 8 hour a week job, which has grown considerably since then. Prior to that I was the librarian at a law firm in the city 

What is the professional achievement / accomplishment that you are most proud of? 

At the beginning of COVID-19, our Head of College wanted to stop almost all aspects of my job (Annual Giving program and production of an Alumni magazine particularly) and I managed to convince him that it was still possible to do both of those things, just in a different way to reduce cost. 

What is the most impactful book you have read or podcast you have listened to?

Podcast – Maintenance Phase (focused on debunking the junk science behind health fads) was the first podcast I listened to that made me understand why people love podcasts so much.  

Do you have any tips or words of advice for new members and/or those new to Advancement?

  • Join Educate Plus and go to all of their Professional Development sessions, SIGs, Summits, conferences and social events.
  • Meet as many people in Advancement that you can. 
  • Ask for help when you need it 

What are three things that you enjoy doing in your spare time?

Driving the tractor at my brother’s farm, going to the beach… and sleeping!

Building a Healthy Team Culture  

Our first WA Chapter Breakfast PD in the 2025 series on ‘Mastering Communication for Engagement and Growth’ on 12 March was very well received by attendees. Advancement professionals from across Perth and Mandurah attended in person at Trinity Residential College in Perth or remotely via livestream.  

Brad Raynor (Cognito and BNR Leadership) delivered practical skills on how to build a culture of explicit belonging and empathy in teams. He explained how the multidirectional dynamics between leaders and colleagues affect behaviour and performance, and how we can enhance these. 

We look forward to Brad returning to the WA Chapter Summit in May to build on this session!

Why Independent Schools Should Focus More on Major Gifts.

Not long ago, I received a fundraising request from my child’s school – one that, rather than asking for a transformational gift, urged me to purchase a jar of Meredith Dairy goat’s cheese. Now, I love cheese about as much as the drink that goes with it, but it struck me: the effort required to organise, promote, and distribute those jars far outweighed the financial return. And while most school advancement offices aren’t spending their time coordinating boutique dairy sales, it raises an important question: are you asking the right people for the right support?

Many independent schools invest heavily in whole-of-community fundraising: the gala ball, the golf day or the giving day. Now, don’t get me wrong – these events have their place. They foster community spirit, uncover a new donor and offer a great excuse for a long lunch. But we have to be honest with ourselves, ‘friend-raising’ is just that and unless your school is fortunate enough to have millions in reserve, a golf day isn’t going to fund your next major building project.

The reality is, schools looking to secure meaningful financial support must prioritise major donations from fewer deeply-invested donors as the foundation for fundraising efforts. Research shows that the number of charitable donations in Australia are decreasing, but the value to remaining donations is increasing. In addition, high-net-worth individuals want to give in ways that are strategic and impactful (Philanthropy Australia, 2023). They aren’t looking for a school-branded water bottle in return for a $50 donation; they want to partner with institutions that share their vision for transformative change.

Major gift fundraising is also far more resource-efficient than broad-based campaigns. It usually costs less than running an event! Rather than chasing hundreds of small gifts, advancement teams (whether a team of many or one) can focus on cultivating relationships with a select group of donors who have the capacity to make a genuine difference. Done well, this approach doesn’t just bring in larger gifts – it fosters a deeper sense of loyalty, ensuring that philanthropy becomes an ongoing, strategic partnership rather than a one-off transaction.

So, while giving days and community events can absolutely remain a part of your engagement strategy, it’s time to ask yourself: are you putting the majority of your resources where they will make the most impact? A well-structured approach to major gifts and bequests with the right donors will always do more for your school than another cheese drive – no matter how delicious.

The Power of Mentoring: Building Connections and Shaping Future Leaders 
Mentoring has been at the heart of Educate Plus since our early days. Whether through formal mentor-mentee pairings or informal connections made at events, PD sessions, and SIGs, it has always been a cornerstone of our network. In 2018, the Educate Plus Mentoring Program was formalised, introducing a structured process with clear criteria for matching mentors and mentees. Tina Fleming, our Member Relations Manager, has been instrumental in facilitating these connections and ensuring ongoing support. 

Why Mentoring Matters 
Mentoring offers significant benefits for both mentors and mentees. Mentees gain invaluable insights from experienced mentors, expand their networks, and receive constructive feedback and motivation. For mentors, the partnership enhances leadership and coaching skills, provides fresh perspectives, and allows them to shape the next generation of leaders in Advancement. 

The Matching Process 
Educate Plus carefully matches mentors and mentees based on two key factors: professional interest and shared values. This ensures not only alignment in career goals but also a deeper personal connection, fostering stronger and more meaningful relationships. 

Many formal mentoring relationships evolve into lasting professional connections and friendships. What begins as structured mentorship often grows into a supportive, collegial relationship that extends well beyond the program, helping build a stronger, more connected network of Advancement professionals. 

WA Chapter Committee Member, Cathy Broad has mentored Georgia Brooks from Loreto Normanhurst. Despite being in different states, they maintain regular Zoom or phone calls, with Cathy offering advice and support.  

“Regardless that our schools are thousands of kilometres apart, the cyclical nature of schools means it is very easy to find common ground and share knowledge and experiences,” Cathy said. “I have found the program as rewarding as Georgia as she has been able to share information with me in areas I am less comfortable with, particularly in the digital marketing space.”    

Meanwhile, Georgia credited Cathy for steering her in the right direction during a time of workplace transition. 

“Cathy has provided invaluable tips and advice, significantly enhancing my capability and confidence in meetings. Additionally, Cathy has given me excellent advice on managing team dynamics. Every interaction has been invaluable, and I look forward to continuing this mentorship.”
