NZ Chapter eNews – November 2022 - 21 November

President’s Message

Tena koutou katoa,

I am delighted to have been elected as your NZ Chapter President for the next two years. We are extremely lucky to have such a wide range of experienced Advancement professionals from across the schools and tertiary sectors who have generously volunteered their time to serve on the incoming Executive Committee. These are all incredibly talented people and I am thrilled to be working alongside them. In particular, congratulations to Emma Zigan as Vice President, Ross Scrymgeour as Secretary and Kirstyn Sandall as Treasurer. I am hoping that I will also have the pleasure of meeting many you (both old and new members) across the country over the next 12 months.

Educate Plus is a unique organisation that serves the needs of Advancement practitioners across the education sector in New Zealand. Our team is planning to deliver a range of valuable opportunities across the regions for professional development, training, mentoring and networking over the next year and beyond.  The last event for 2022 is a cocktail and networking event in Christchurch on 16th December.  There is still time to register here. We hope to see some of you there.

We are delighted to announce that we will be hosting a NZ Chapter Summit in 2023. The theme is NEXUS, that space where things connect. We hope in the future to deepen our connections and enhance the practice of Advancement across the country.

Finally thank you to each and every one of you for the invaluable contribution you make to your organisations, alumni and donors. Whether you are working in Admissions, Alumni, Marketing & Communications, Fundraising or you’re a one-person-band doing all of the above, the schools and tertiary institutions thank you for your commitment, passion and enthusiasm to help make a difference.

I wish you all a safe and laughter filled summer break.

Outgoing President’s Message

Outgoing President’s Message

Kia ora koutou,

It’s hard to believe that we’re on the downhill journey toward the end of another calendar and academic year! We trust that your final few weeks go smoothly as you all navigate the exam season and the usual series of end of year events in your institutions. Thanks to those of you who travelled from far and wide to be part of the 2022 Educate Plus NZ Adapt Strive Thrive Conference kindly hosted by the University of Auckland on Friday 9 September. We were treated to an insightful keynote address by former University of Auckland Vice-Chancellor Professor Stuart McCutcheon; and many generous, inspirational presentations and panel discussions involving members, Chapter Partners and supporters.

Combined with the many opportunities to network with fellow members during the day, we departed feeling replenished by a healthy dose of Educate Plus connection, support, sharing and learning. Our sincere thanks, as always, to key sponsors and partners Enquiry Tracker, Giving Architects, NZ Micrographic Services, Potentiality and NoticeMATCH, and to our Australian colleagues who made the trip across the Tasman to be part of the reunion event! To view photos of the event, click here.

For those who weren’t able to attend this year’s Chapter Conference, the good news is that you don’t need to wait the usual two years until the next one! You can lock the 2023 Educate Plus NZ Chapter Summit (same gig, different name!) into your 2023 budgets now! The format is likely to be a full day Conference with an optional half-day of Masterclasses. We have had a hiccup with our original dates but hope to announce confirmed dates and venue within the next week.

In the meantime, the current series of five regional networking events give us all a chance to reconnect with our local colleagues and Chapter Partners. Thanks to our hosts over the past week at University of Otago, University of Victoria Wellington and Palmerston North Boys’ High School. See details in this newsletter of events in Auckland at Dio this Wednesday 23 November and in Christchurch at Christ’s College on Friday 16 December. It’s not too late to register!

On a personal note, last month’s AGM marked the official conclusion of my two year term as NZ Chapter President, and several years as a Committee member. It has been a privilege to serve our Chapter members throughout this time. In my early days in the sector, Educate Plus colleagues kindly showed me the way and continue to provide daily support and collegiality. To you all, my sincere thanks. To any new members, I promise that you have found “your whānau” – we are all here to support you, please do reach out, and if you feel you would benefit from a more formal support partnership, please make contact with Membership Manager, Tina Fleming and have a chat about the Educate Plus mentoring programme.

A final and heartfelt thanks to my fellow Committee members – it has been a significant couple of years and I feel that we all, members and Committee, deserve a mighty pat on the back for getting through it, culminating in the celebration of the 2022 Chapter Conference and the bolstering of our Chapter Partner ‘family’. It was such a treat to be back amongst the special, quintessential Educate Plus connection and kindness!

My sincere best wishes to Nicole Bassett and members of the incoming 2023 Educate Plus NZ Chapter Committee – embrace the opportunities ahead – you have much to look forward to.

I leave you with the words of Nelson Henderson that, for me, symbolise the substance of our collective mahi in advancement:

“The true meaning of life is in planting trees under whose shade we do not expect to sit”.

Meet an Educate Plus Colleague

Meet an Educate Plus Colleague

Nicola Davies, Executive Officer at King’s College Old Collegians’ Association shares with us insights about her career in alumni engagement, what is working well for the KCOCA, challenges and guidance she has for those new to the profession.

Tell us a little bit about King’s College Old Collegians’ Association.

The KCOCA was established in 1900 and has been going strong for 122 years. It was initially called the Old Boy’s Association, but this was changed to the name we have now after girls joined the College in 1980. The purpose of the Association was, and still is today, to promote and support good fellowship and connection amongst its members and to support the best interests of King’s College.

We have a vibrant Old Collegian community with over 13,000 members and currently operate as a registered charity. One area of Old Collegian support that is important to the Association, but perhaps not widely known about, is that we fund a number of Bursaries each year enabling the children of Old Collegians to attend King’s who might not otherwise be able to afford an education at the College.

How did you get involved in Alumni engagement?

My background is in Sales and Marketing, Brand Promotion and Business Development. I have always held roles that have been front facing and had a strong relationship building element to them. Whilst I was taking time out from work to raise a young family, I became involved in volunteering for the PTA at our local primary school.  I could see that I could bring a set of skills to the table that would benefit the school community and ultimately my children and their experience at the school. It also kept my hand in the game and developed skills in areas for me that were new – so it was win-win.

I would encourage anyone to give charitable work serious consideration for these reasons alone as well as the feel good factor you get from giving.  I became the Chair of the PTA and during my tenure, we assisted the school through our friend raising to create a strong and involved school community, each bringing their own unique talents to share, and through the PTA fundraising we channelled enough funds to the school to significantly upgrade their facilities: Astroturf, shade sails, new basketball hoops, sports equipment and a new playground.

When the time came to re-enter the workforce, being involved in Alumni Engagement felt like the right next step for me. My previous employment roles, and subsequent community engagement experience on the PTA lent itself strongly to the role I hold now working as the Executive Officer for the KCOCA. In addition, my own high school education meant I had a personal understanding of what it was like to be part of a strong and long standing alumni, which motivates me to do the best I can to support and ensure good outcomes for the King’s College Old Collegian community.

What is the secret to having great engagement with the alumni community?

Regular interaction and communication – you must be frequently speaking with your community so that you can keep your finger on the pulse and ensure you are meeting their expectations. I would also say having the ability to understanding and honour tradition and your roots whilst also being innovative and relevant for your newer members.

An example of this is that KCOCA has always benefitted our members with connections, mentorship, and networking. The way people communicate and connect with each other has obviously changed and developed over the course of 100 years, especially with advancements in technology and social media. In 2020, we launched a Business Networking Hub on our website that assists our members to find and connect with each other on a global scale and we also introduced a new event opportunity to our members with our Business Networking Breakfast and Speaker Series. We also continue to engage with, and keep our community informed, through both traditional and more modern means of communication with social media platforms like LinkedIn, Facebook and Instagram.

What is the biggest issue or challenge that alumni officers face?

Database management. Without a doubt, this is a challenge for many alumni. I would say it is also the area that is probably most underestimated in its importance and often gets the least funding and sunlight. Keeping your database up to date and relevant is the key to being able to effectively engage and connect your alumni community.

I would also say in a post covid world – event engagement. People are far more selective of the events that they attend these days and there has to be a good offering of benefit to the attendees – so being creative in this space and staying in touch with what sparks people’s interests is important too.

What are you most proud of in your work with the KCOCA?

My role is to help to facilitate the goals of the Executive Committee and to honour the purpose of the Association so that it continues forward in good health for future generations of Old Collegians. It is a team effort. However, I would say that I am most happy after a community engagement event when I can see the work that I have contributed has been successful in connecting our members in a positive way and meaningful way. I would also like to think that the work being done now by myself, and the Exec Committee, will be beneficial in the future of the Association and the College. One area where I think we have certainly achieved this, is to fund and support The Archives at King’s College – protecting and ensuring there is a well-managed Archives that captures the history of the College for future generations to enjoy.

Do you have a favourite or insightful alumni relations story?

Too many to focus on just one. My role is varied and has me wearing different hats on different days which keeps me on my toes and which I enjoy. However, for me the best part of this role is the people I meet and the opportunity to connect with and speak to so many interesting and varied characters, either in a professional or personal capacity. I consider this to be a great privilege.

What is one thing you wish you had known at the beginning of your career? Or what is some advice you have for those who are new to the profession?

If I was able to speak to myself as a young professional I would encourage listening and paying attention to those with more worldly experience than myself, and to value everyone as individuals, each with different wisdom to contribute.

If you are new to the world of Relationship Management or in my case Alumni Management then a smile, empathy, and your listening ears will be your greatest assets.

How has Educate Plus community supported you during your career?

Educate Plus has connected me with others working in my field who I have been able to learn from and share ideas and experience with. Invaluable!

Student Volunteers Cook up a Storm at Ronald McDonald House

A placement on a paediatric ward inspired an Otago Physiotherapy student to lead a volunteer effort at Ronald McDonald House.

Fourth year student Lily Montgomery worked closely with the families of paediatric patients at Christchurch Hospital and witnessed the stress they were under.

“The families go through so much and the last thing they want to worry about is figuring out what’s for dinner,” she says.

Lily wanted to make a practical difference so organised a team of fellow Year 4 Physiotherapy students as kitchen volunteers.

The nine-strong group took their cooking skills to go into Ronald McDonald House, the ‘home-away-from-home’ for families who travel to Christchurch for their child’s medical treatment, where they prepared hot evening meals for children and their whānau.

“I like that by volunteering at RMDH you can directly give back to the families. We got a chance to meet some of the families and saw first-hand how much of an impact just a couple of hours of our time can make.

“It was such a rewarding experience and it was fun to do the cooking alongside my peers. A highlight was serving the children and their families, and seeing how grateful they were.”

The group will continue to volunteer in the coming months, splitting into smaller groups and cooking over multiple nights.

School of Physiotherapy Clinical Co-ordinator Heather Patterson says the volunteering “showcases the students’ community involvement and professional empathy for families under stress.”

“I was immensely proud of these students for this undertaking.”

A Word with our Chapter Partners

A Word with our Chapter Partners

NZMS is the sole New Zealand reseller of Recollect, a special collection management and community engagement platform. Recollect was originally created and developed through NZMS before being spun out on its own 2 years ago. There are now over 100 Recollect clients around the world including large municipal archives, universities, schools, libraries, historical societies, and more.

Recollect is designed to help organisations share their local history and build meaningful connections with their stakeholders. It was built to fill a gap identified by NZMS customers who realised that digitising their important heritage material was only part of the answer to preserving history. The other part was generating community engagement and participation with their collections — including inviting people to contribute family and personal archives to enrich institutional collections, or simply creating a space to share recollections and stories relating to the material.

We have come to understand that providing an online platform for digital archives (such as photo albums, year books, manuscripts, diaries, photographic prints, ephemera, etc.) is a logical endpoint for NZMS services, which began in 1990 microfilming the country’s newspapers. Microfilm remains an important focus for NZMS and it is the only organisation in Aotearoa New Zealand offering this service, ensuring newspapers are microfilmed and available in library reading rooms around the country.

NZMS’ services have continued to expand throughout its 30+ years in business. In addition to microfilm, digitisation, and guiding clients through the Recollect implementation process, NZMS can provide advice on digitisation standards or workflows, supply scanning or camera equipment, and offer training for groups tackling projects in-house.

Our goal is to help our customers unlock the value in their archives through digitising and sharing important collections, encouraging contextual storytelling, and forming strong community connections.

Please contact our team to discuss your collection requirements or to learn more about Recollect!

Four Reasons for Project Fails—and How to Prevent Each One

We’re living in the golden age of failure, where tech culture embraces a “fail fast” mentality and celebrates lessons learned from missteps. But when it comes to that upcoming project you’re leading, given a choice, you’d much rather succeed.

But the truth is, whether they’re delivered late, go over the budget, or they don’t meet expectations, many projects do end up failing. The 2017 Pulse of the Profession survey from the Project Management Institute (PMI) reports that poor project performance leads to $122 million wasted for every $1 billion invested.

Beyond monetary losses, there’s the negative impact on team morale and the time you can never get back. For these reasons and more, it’s wise to learn the main reasons for project failures—and how you can stop them in their tracks.

To find out the four reasons for project fails, and how to prevent each one, click on the link below:
